Waltham Cooperative Playgroup ("we," "us," or "our") respects your privacy and is committed to protecting it through compliance with this policy. This policy describes the types of information we may collect from you or that you may provide when you visit our website (walthamplaygroup.org) and our practices for collecting, using, maintaining, protecting, and disclosing that information.

2. Information We Collect

We collect information that you voluntarily provide to us when you:

  • Contact Form: Name, email address, and your message.
  • Visit Request Form: Name, email address, child's age range, preferred visit day(s), optional phone number, and optional notes. You also acknowledge our caregiver policy and privacy practices.
  • Visitor Waiver: Parent or guardian name, email address, child name(s), optional visit date, typed signature, the waiver version and waiver text you agreed to, and the date and time of completion.
  • Imported membership history: WCP may maintain limited imported records including an adult or member email, semester participation history, and provenance needed to administer those records and send relevant communications.
  • Registration (via Jovial): Registration and member management are handled by our third-party partner, Jovial. Their privacy policy governs data collected on their platform.

Contact and visit-request information is stored in our records and used to respond to families and coordinate participation. Visitor-waiver information is also stored to coordinate visits and document whether a waiver was completed. Completed visitor waivers are retained as records of the agreement. Records of waiver invitations that were not completed may also be retained for recordkeeping purposes. We may retain information when reasonably needed for legal, insurance, safety, or recordkeeping purposes.

3. How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information:

  • To present our website and its contents to you.
  • To provide you with information, products, or services that you request from us.
  • To coordinate requested visits, manage visitor waivers, document their completion, and provide related confirmations.
  • To fulfill any other purpose for which you provide it (e.g., registration).
  • To notify you about changes to our website or any products or services we offer.

4. Third-Party Services

We use third-party services for specific functions:

  • Jovial: We use Jovial to handle registration and member management. Their privacy policy governs the collection and use of information on their platform.
  • Zeffy: We use Zeffy to process online donations. Donation and payment information entered into the embedded Zeffy form is processed by Zeffy under its privacy practices. WCP does not independently collect or store payment-card information entered into the Zeffy form.
  • Google Analytics: We may use Google Analytics to understand how visitors interact with our website.
  • Google Translate: We offer a translation feature powered by Google Translate. When you use this feature, your request is processed by Google, and their privacy policy applies to that data.
  • Resend: We use Resend to send emails related to contact and visit requests and visitor waivers. Relevant contact and waiver information is processed through Resend as needed to send those messages.

5. Cookies and Session Data

Our website uses cookies for essential functionality:

  • Session Cookies: If you log in to the Members area, we use a session cookie to keep you logged in. This cookie expires after 28 days or when you log out.
  • Third-Party Cookies: Some third-party services we use (such as Google Analytics and Google Translate) may set their own cookies. Please refer to their respective privacy policies for more information.

6. Children's Privacy

Although Waltham Cooperative Playgroup serves families with young children, this website is directed at parents, guardians, and caregivers, not at children. We do not knowingly collect personal information directly from children under the age of 13. Information about children that we collect through this website is provided by their parents or guardians.

If you believe we have inadvertently collected information from a child under 13, please contact us immediately so we can delete it.

7. Photos and Media

We respect your family's photo privacy. Photos or videos may be taken during playgroup sessions for internal use, social media, or our website.
